1. Student Admission/Registration

Every academic semester, students should do two kinds of registration:

  1. Administrative registration, students should pay tuition fee by bank transfer. After performing registration payment, students will obtain status as registered. Further, registration officer gives verification sign to the student’s ID card (Gamacard).
  2. Academic registration, students should register at their faculties (by showing the evidence of registration payment), which enable them to attend the academic activities on current semester.

Students who do not register or take leave in the related semester will be considered as withdrawing their status as UGM student, are not allowed to attend the academic activities and use the facilities.

2. Academic leave and re-registration after taking academic leave

a. Academic Leave

  1. Academic leave is only allowed if a student has obtained written permission from the dean or rector.
  2. Academic leave for period more than 2 years, either continuously or not, student should propose for academic leave permission to the rector with a copy to the dean.
  3. Academic leave period is not regarded as active study period in relation with limit of study period.
  4. During the academic leave, students do not need to pay the tuition fee.
    Students are not allowed to take academic leave before evaluation of the first four semesters. For certain reasons (pregnancy/childbirth, illness that caused hospital care), which are permitted by the rector, students can get an academic leave. However, the academic leave period is regarded as active study period and is used as the basis of evaluation calculation.

b. Re-registration after taking academic leave

Students who want to be active again in the academic activities after taking academic leave should take several steps below:

  1. Propose for letter of requesting study activation to the dean (for those who obtain leave permission from the dean) or to the rector (for those who obtain leave permission from the rector). The proposal letter should be submitted by the latest 1 month prior the start of the academic activities in current semester.
  2. Completing re-registration by showing letter of study activation and student ID card at the Registration Office UGM and making tuition fee payment.

3. STUDY PLAN CARD

Entering a new semester, every student should determine their learning program plan. The courses taken should be registered at the Office of Academic and Student Affairs in the Faculty by filling in the form of Study Plan through Academic Information System. The Study Plan should be approved by the Academic Supervisors. The load of credits taken should be based on the GPA achieved on the previous semester with the terms as follow:

If in the previous semester students took academic leave, the study load can be taken by students is minimum study load (12 credits).
For new students, the amount of study load per semester is determined based on the curriculum structure and the policy in each faculty.

4. Lecture activities

Student, whose class attendance is less than 75% of predefined schedule, is not allowed to attend the examination of the related course.

5. Study Evaluation

The study evaluation was conducted in three stages:

    1. The first evaluation is applied after students attend the academic activities for the first four semesters consecutively since they were accepted as new students. Evaluation is conducted at the end of semester 4. In this evaluation, students should collect minimum 30 credits with GPA minimum 2.00. If students failed to complete the requirement, students cannot continue their study in UGM or considered as drop out.
    2. The second evaluation is applied near the end of the study program period as per the length of time defined by each study program. This evaluation is applied to students who face problems with academic achievement, which is far beyond the requirement.
    3. Final Evaluation is applied at the end of the study period limit/at 14th semester or after 7 years of study period.
